Room Hire FAQ

  • help_outlineIs there parking available at York House?

    Yes - York House has a car park to the front of the building which accommodates 15 cars plus 2 disabled access spaces (for cars displaying a valid blue badge only). Please park within the marked bays and do not park on the double yellow lines or in the cross-hatched areas as these are required for constant access.

    Parking is on a first come/first served basis and there may be multiple user groups or events in the building at the same time. If our car park is full, please find alternative legal parking – we suggest the Hawkins Close FREE car park slightly further down London Road (a 2-minute walk from the centre).

  • help_outlineAre all rooms at York House Centre fully accessible?

    Not all - the ground floor at York House (Main Hall, Beechey Room, The Space, Kitchen, Toilets) is fully accessible with an Accessible Toilet with baby-change unit, there are ramps to the front and rear of the building.

    Our meeting rooms on the upper floors are accessed via stairs and we have no lift.

    Middle Floor – Room 2.2, Room 2.3, York House Office, Men’s Toilets, Women’s Toilets

    Top Floor – Room 3.3

  • help_outlineDo you have an accessible toilet and baby-change facilities?

    Yes – on the ground floor there is an Accessible Toilet with a baby-change unit and separate Men’s and Women’s Toilets.

  • help_outlineIs there wi-fi available at York House?

    Yes - we have free wi-fi with boosters around the building to provide a robust signal.  Ask the York House office for the network name and password when you make your booking.

  • help_outlineIs there audio visual (AV) equipment available?

    Yes - we have a built-in AV projector, screen and speakers in the Beechey Room and also a portable AV projector and screen for use in other rooms.  There is a small hire charge of £15 per session for ad hoc users.  Regular user groups may use the equipment FOC but need to let the YHC Office know when they would like to use it.

  • help_outlineWhat is the latest time I can book until?

    Parties and events must finish by 11pm, you can book up to an hour afterwards to tidy up, so the latest lock-up time is 12 Midnight.

  • help_outlineWhat happens if my event over-runs?

    We expect that when you book you will arrive at your agreed start time and be finished and tidied up (including all furniture returned to as it was at the start of your booking) for the agreed finish time.

    If your booking runs past the agreed time this may cause problems with other groups or events booked after you and we will charge you for the additional hour you run into plus an additional £20 per hour per staff member. This will be deducted from your deposit.

    Our Premise Licence dictates a latest lock-up time of 12 midnight.

  • help_outlineDo you accept 18th Birthday Parties?

    No – we regret that the building is not available to hire for 18th Birthday Parties due to previous bad experiences with noise, damage etc.

    We accept Children’s Party bookings up to 16 years and 21st Birthday Parties and older.

  • help_outlineCan we use the grounds at our party or event?

    Our rear grounds are recently landscaped and include a lawn area with a decking stage/seating area and an Astroturf sports pitch.

    It may be possible for you to use areas of the rear grounds as part of your booking, subject to availability. Please discuss this with the York House Staff when making your booking.

    Front car park – is generally a shared area so you should not set up equipment, food vans etc without seeking permission from the York House Staff prior to your event.

    If you use our outside areas, you are responsible for picking up any litter at the end of your event.

    Outside noise – the building is located in a residential area so you should be mindful of noise levels when using our outdoor areas. Our Premise Licence dictates that we should not have outdoor music or events after 8pm. It may be possible to secure a Temporary Event Notice for later outdoor events, discuss this with the York House Staff.

  • help_outlineCan we use the kitchen space at York House?

    Yes – the kitchen on the ground floor is a shared area accessible to all the users at York House to make refreshments.

    Kettles, mugs, spoons, dishwasher, oven and hob, microwave, fridge and a small freezer are provided but please bring your own tea, coffee, sugar, milk etc.

    Be mindful that there may be other groups using the building at the same time as your group or event so please do not dominate the area and leave it as you would hope to find it.

    All equipment used must be cleaned, dried and returned to its storage area.

  • help_outlineCan we decorate the room/s we hire?

    Yes – we want you to customise our rooms with decorations for your special occasion, but we have a few rules!

    • No Sellotape (or similar) on any surfaces (including furniture)
    • Please DO NOT attach anything to the grey walls (Main Hall and Beechey Room)
    • You can put decorations up with blu-tack on the window surrounds, pillars, white acrylic panels, front of the bar counter
    • Hooks are provided around the main hall for balloons, fairy lights etc.
  • help_outlineDo we need to bring our own bin bags, washing-up liquid etc?

    No – we provide black bin bags, clear recycling bags, paper towels, loo roll, hand soap, washing-up liquid and dishwasher tablets.

  • help_outlineAre there tables and chairs we can use?

    Yes – the room you have hired may contain some tables and chairs (which can be moved around but should be wiped and replaced where you found them at the end of your event).

    If you require additional furniture, there are approx. 25 GoPak tables and approx. 80 plastic chairs in the Furniture Store on the ground floor (adjacent to the kitchen). Please wipe and return any extra furniture you have used.

  • help_outlineDo you allow alcohol at York House?

    Yes - you are very welcome to bring alcohol for you and your guests and should inform us when you book the room(s) that you will be doing so.

    Selling Alcohol - York House Centre has a licence for the sale of alcohol. If you or anyone else (e.g. an outside bar provider) will be selling alcohol at your party or event, you must inform staff when booking, pay a £20 ‘Alcohol Licence Charge’ and fill in a small amount of extra paperwork nominating a ‘Responsible Person’ aged 21 years+.

  • help_outlineCan we have a DJ or recorded music at our party or event?

    Yes – music and party noise must be kept to a reasonable level throughout your event, windows and external doors must be kept closed if loud music is playing as we are in a residential area.

    The Main Hall is fitted with a noise limiter which will control the level of noise, particularly from musical instruments or equipment. Excessive noise will result in the power supply being cut and this may cause damage to equipment.

    You need to make your DJ aware of the noise limiter at the start of your event so that they can check their noise levels.

  • help_outlineCan we have a live band at our party or event?

    We allow acoustic-style live music, loud bands with drums and bass are not permitted because we are located in a residential area.

    Music and party noise must be kept to a reasonable level throughout your event, windows and external doors must be kept closed if loud music is playing as we are in a residential area

    The Main Hall is fitted with a noise limiter which will control the level of noise, particularly from musical instruments or equipment. Excessive noise will result in the power supply being cut and this may cause damage to equipment.

    You need to make your musicians aware of the noise limiter at the start of your event so that they can check their noise levels.

  • help_outlineCan we have a smoke machine at our event?

    No – smoke machines and dry ice are not permitted as they always set off the fire alarm.

  • help_outlineCan we have fireworks at our event?

    No – fireworks and Chinese lanterns are not to be used within the boundaries of the York House premises, including in the car park and garden areas.

  • help_outlineCan we have a bouncy castle at our event?

    Yes – it is your responsibility to make sure any equipment provided by you or an outside supplier is set up correctly and that use is monitored by a responsible adult.

    To be fully covered, you must have your own insurance for any special equipment brought into the building.

    Height restrictions – the Main Hall is a minimum height of 8’ 7” (2.5m), the Beechey Room is a minimum height of 12’ (3.7m). Full room dimensions, positions of power sockets etc can be found in the room information sections on this website.
